At Ashlyn Promotions DBA Trading Pin Zone, our customers are the foundation of our success. Every custom product we manufacture is backed by exceptional customer service and our commitment to quality.
Creating custom products is a collaborative process, and we consider you an important part of our team. We rely on the information you provide to produce the exact custom products you need, including trading pins, lapel pins, embroidered patches, lanyards, challenge coins, buttons, badges, keychains, and other promotional items. To ensure a smooth experience, both parties have certain responsibilities. Please review the following Terms and Conditions, which govern all sales and services provided by Ashlyn Promotions DBA Trading Pin Zone.
Our Responsibilities
100% Quality Commitment
We stand behind every product we manufacture. If a product is found to contain a manufacturing defect, we will replace the defective product at no additional charge. Written claims regarding defective products must be submitted within 30 days of receipt. For purposes of this agreement, a “defect” refers solely to a manufacturing error.
Accurate Product Information
Before production begins, you will receive a digital proof of your custom product via email. This proof allows you to verify spelling, colors, sizing, and design details, and to request any necessary changes before production starts.
For lapel pins and similar products, size is determined by measuring the widest or tallest point of the design.
Color Matching
We utilize the Pantone Matching System (PMS) whenever possible. Customers should provide PMS color numbers when color matching is required. Because colors may display differently on various monitors and printers, we recommend confirming color selections using an official Pantone color guide. PMS color references will be included on your proof whenever applicable.
Order Confirmation
Prior to production, you will receive an order confirmation containing:
- Written specifications of your order, including pricing, product type, size, quantity, colors, and estimated production time.
- A finalized digital proof reflecting any approved revisions.
- A copy or link to these Terms and Conditions.
Production will begin once we receive your written approval. Orders placed through our online ordering system may not require a separate confirmation email, as customers review and approve all order details during checkout.
Production and Delivery
Upon approval, production will begin promptly.
Specialty manufacturing options such as offset printing, 3D molds, zinc alloy construction, dual plating, or LED features may require additional production time.
Large-volume or specialty orders may also require extended production schedules.
While we strive to meet all estimated production and shipping timelines, production and shipping dates are estimates only and are not guaranteed.
Online Ordering System
Ashlyn Promotions DBA Trading Pin Zone offers secure online payment processing for customer convenience. We take the security of your personal and financial information seriously and utilize industry-standard security practices to protect your data. Orders are processed through authorize.net. We do not store or have access to your credit card info at anytime.
Customers should verify production schedules and delivery requirements with their sales representative prior to placing an order. Because all products are custom manufactured, orders cannot be canceled once submitted into production. Any approved credits will be applied to future purchases at our discretion.
Your Responsibilities
Ownership of Artwork and Intellectual Property
By submitting artwork, logos, trademarks, designs, or other materials, you represent and warrant that you possess all necessary rights and permissions to reproduce such materials.
You further agree that the production of your order will not infringe upon the intellectual property rights of any third party.
Proof Approval
Please carefully review all proofs provided to you, paying special attention to:
- Design layout
- Spelling and wording
- Colors
- Sizing
- Product specifications
During the online order checkout process you are giving your approval and authorization for production to begin. Because all products are custom manufactured, approved orders cannot be canceled or modified once production has started.
Shipping and Delivery
We make every effort to ensure your order arrives by your requested date. However, we cannot guarantee delivery dates and are not responsible for delays caused by circumstances beyond our control, including but not limited to:
- Incorrect or incomplete shipping addresses
- Customs inspections or delays
- Carrier routing errors
- Weather-related delays
- Recipient unavailability
- Issues with fedex/UPS/Dhl
Additional shipping charges may apply for international deliveries.
Legal Terms
Final Sales
Due to the custom nature of our products, all sales are final. Once an order has entered production, it cannot be canceled.
Ownership of Molds, Dies, and Tooling
All molds, dies, plates, fixtures, and tooling created during production remain the sole property of Ashlyn Promotions DBA Trading Pin Zone.
Charges associated with tooling represent setup and manufacturing costs only and do not transfer ownership rights to the customer.
Defective Products
Ashlyn Promotions DBA Trading Pin Zone does not provide refunds, credits, or discounts for custom-manufactured products. However, we will replace any product determined to have a manufacturing defect, provided written notice is received within 30 days of delivery and the defective order is returned. Once the order is returned we will start production on your new order.
Entire Agreement
These Terms and Conditions constitute the entire agreement between Ashlyn Promotions DBA Trading Pin Zone and the customer and supersede all prior verbal or written communications regarding an order.
Disclaimer of Warranties
EXCEPT AS EXPRESSLY PROVIDED HEREIN, ALL PRODUCTS ARE PROVIDED “AS IS.” ASHLYN PROMOTIONS DBA TRADING PIN ZONE DISCLAIMS ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING ANY IMPLIED WARRANTIES OF MERCHANTABILITY OR FITNESS FOR A PARTICULAR PURPOSE.
Limitation of Liability and Venue
Any legal dispute arising from the purchase of products or services shall be governed by the laws of the State of Tennessee.
Exclusive jurisdiction and venue shall lie in the courts of Williamson County, Tennessee. The prevailing party in any legal action shall be entitled to recover reasonable attorney’s fees and costs.
In the event Ashlyn Promotions DBA Trading Pin Zone is named in any intellectual property dispute arising from artwork, trademarks, logos, or materials supplied by the customer, the customer agrees to indemnify and hold harmless Ashlyn Promotions DBA Trading Pin Zone from any resulting claims, damages, costs, or legal expenses.
Intellectual Property Notice
Any products displayed on our website that contain corporate logos, trademarks, copyrighted artwork, or other protected intellectual property are shown solely as examples of manufacturing capabilities.
Purchase of products from Ashlyn Promotions DBA Trading Pin Zone does not grant any right, license, ownership interest, or permission to reproduce any trademark, logo, or copyrighted material.
